Summary of functions:
Strategic & Operational Support to the Hub Director
Programme-Partnership-Support Services Nexus
Programme Communication
Strategic & Operational Support to Hub Director (50%)
Provide support to the Hub Director and the Head of Programme and coordinate the drafting of partnership and programme-specific materials, including letters, background notes, talking points, presentation slides, and speeches;
Support the Director in following up on activities and/ or actions with regards to programme and operations oversight;
Support the Director in following up on activities and/ or actions with regards to oversight and management of the Hub commitments related to Health & Safety and Gender Parity;
Provide support to the Director in the follow up of the People Survey Action Plan;
Support the Quarterly Business Review process through engaging with relevant sections and follow up on issues, challenges and action points that result from the process.
Support the Quarterly Assurance process including engaging in coordination with relevant project managers, programme and partnerships teams. Follow up on issues, challenges, results and ensure the smooth completion of the process.
Provide support to the organization, administration, and follow up to the Hub Management meetings, including scheduling, taking minutes, and tracking the follow up actions;
Provide support to Director in relation to inter-agency coordination meetings across the Hub;
Support the organization of training workshops, high level meetings and/ or events as required;
Prepare spreadsheets, database files, presentation slides and tables ensuring appropriate style and accuracy of information by liaising with relevant team members across the Hub.
Programme-Partnership-Support Services Nexus (30%)
Support the implementation of the Partner Survey Action Plan, as related to the programme/partnerships nexus, including the necessary follow up with the project managers, Project Support Team, and other relevant sections;
Prepare and maintain the database of ongoing projects under the Hub, in coordination with the Programme and Partnerships teams;
Provide effective support to the formulation and implementation of projects, including through monitoring and analyzing specific aspects of programme/project development and implementation, reviewing the relevant documents and reports, identifying procedural and substantive gaps and issues, and coordinating follow up actions with the relevant colleagues;
Support the Programme team in undertaking monthly, quarterly and annual project reviews, including through coordination with the Partnerships Team;
Support the Programme team in the project level Quarterly Assurance process and its alignment with the PMM requirements;
Guide and/ or follow up with PMs in ensuring compliance with donor agreements and UNOPS project management procedures and requirements;
Closely follow up with the Programme and Partnerships Teams for the resolution of any critical issues, as identified by the Director and/ or the Head of Programme;
Programme Communication (20%)
Support the Communication function under the Hub in close coordination with the Communications Specialist, including the following:
Support internal and external communications and visibility, as part of the overall communication strategy;
Support the development and management of communications protocols and materials, including photo/video archives, standardized fact sheets, success stories, website, newsletters and other internal and external communications products;
Support in developing background documentation, and undertake information gathering on relevant development and/ or humanitarian issues; and,
Monitor, track, and advise on external and internal communication across the Hub and the projects for consistency in practice.
Education:
Education
High School Diploma is the minimum requirement for this role.
University Degree (bachelor’s degree) in Business Administration, Management, Project Management, International Communications would be a significant asset.
Work Experience
Six years of relevant and progressive professional experience supporting Programme/ project management including implementation, compliance and communication is required;
2 years of relevant relevant professional for applicants holding a first University degree (BA) in Administration, management Project management, communication or related field
Demonstrated experience in project management and quality assurance tools is required;
Previous experience in communications is preferable;
Knowledge of compatible project management tools as used in UNOPS is desirable;
Previous experience in the UN System is highly desirable.
Language
Fluency in both English and Arabic is required.
